Drop-Ship Tracking

Overview

• The Drop-ship an order placed with a supplier for an item or items that are not normally stocked by the retailer; the supplier then ships the merchandise directly to the retailer's customer. The retailer never takes physical possession of the merchandise. Tracking screen synonymous with the Microsoft Access Form object or graphical user interface (GUI) is used to enter tracking numbers and shipping dates for drop-ship line items from various orders from a central location in the program

• The Drop-Shipping Tracking screen is accessed by:

Main Menu>Accordion>Manage My Inventory>Manage My Purchase Orders>Drop-Ship Tracking tab>Add Tracking Numbers

Description of the Screen

Filter Data Section

PO Number Field

• enter a specific purchase order number to view its drop-ship line items in the Datasheet section and add tracking information
• press Enter or Tab to add the purchase order to the Datasheet section

Order Number Field

• enter a specific OMS order number to view its drop-ship line items in the Datasheet section and add tracking information
• press Enter or Tab to add the purchase order to the Datasheet section

Supplier Drop-down List

• choose a specific supplier vendor to see a list of all open drop-ship purchase orders in the Datasheet section and add tracking information

Clear List Button

• removes all of the line items presently in the Datasheet section

Update Data Section

Tracking Number Field

• enter a tracking number and a date in the Date Shipped field

Date Shipped Field

• record the date the items are shipped

Update All Button

• all drop-ship purchase orders in the Datasheet section are updated with the values in the Tracking Number and Date Shipped fields

Data Sheet Section

Restart Button

• clears all data entered in the Tracking, Date Shipped, Unit Cost, Freight, Fees, and Discounts columns without clearing the information in the Data Sheet section   

View Order Button

• opens the selected order at the Process Orders screen

Split Button

• if a line item individual products listed on an order has a quantity greater than one and all of the units are not sent in the same shipment, use this button to split the line item into two separate line items so that the tracking information and date shipped can be accurately recorded for each shipment

Post Data Button

• saves the data entered on this screen in the OMS tables

List of Drop-ship Purchase Orders

• shows the details of the line items on drop-ship purchase orders matching the criteria specified in the Filter Data section of the screen  

  Supplier Column

  • reflects the name of the supplier that fulfilled the drop-ship item purchase order

  PO # Column

  • denotes the number assigned to the drop-ship purchase order for a given line item

  Order # Column

  • indicates the number OMS assigned to a given order

  Item # Column

  • reflects the relative number of a product or line item in a given order

  • for instance, an order may contain three line items, such as a ball and bat and a hat; the ball would be referenced as "1", the bat would be referenced as "2" and the hat would be referenced as "3" in the Item # column of their respective line item records

  Local SKU Column

  • displays the OMS product SKU the abbreviation for Stock Keeping Unit; a unique identifier used to track product inventory of a given line item

  Tracking #  Column

  • the tracking number associated with a given line item or items

  Date Shipped Column

  • the date when a given line item is shipped

  Quantity Column

  • indicates the number of units of a given line item that were shipped

  Unit Cost Column

  • reflects the unit cost of a line item

  • Note: If Freight, Fees or Discounts are entered at this screen, the program revises the Unit Cost field of those line items to include those amounts. For example, if you ordered 5 Widgets at $100 each, then added $35 for Freight, $10 in other fees, and a $12 discount, the program would calculate: ($100x5) + $35 + $10 - $12 = $533, then divide that by the quantity (5) and change the unit cost to $106.60.

  Supplier's SKU Column

  • the SKU the Supplier assigns to the product or line item

  Item Name Column

  • provides a description of the product or line item

  SubTotal Column

  • displays the extended cost of the number of units for the line item

  Freight Column

  • any additional Freight charges for a particular line item are recorded in this field

  Fees Column

  • any additional Fees associated with this shipment are recorded in this field

  Discounts Column

  • Discounts applied to a given line item are recorded here  

  Total Column

  • reflects the Total Cost of the shipment, including Freight charges, Fees and Discounts

Import Tracking Data

• opens the Import Tracking Data screen

Close Button

• exits the Drop-Ship Tracking screen
