{"id":77,"date":"2022-11-01T18:42:09","date_gmt":"2022-11-01T18:42:09","guid":{"rendered":"https:\/\/stoneedge.com\/kb\/?post_type=ht_kb&#038;p=77"},"modified":"2026-03-06T20:30:28","modified_gmt":"2026-03-06T20:30:28","slug":"backup-access-database","status":"publish","type":"ht_kb","link":"https:\/\/stoneedge.com\/kb\/articles\/backup-access-database\/","title":{"rendered":"Backup a MS Access Database"},"content":{"rendered":"<h2>Overview<\/h2>\n<ul>\n<li class=\"CopyofBulletedList\">The information contained in your store data file(s) is unique to your Web store or stores.<\/li>\n<li class=\"CopyofBulletedList\">It contains all of your customer, order, and supplier records in addition to all of the system settings you entered in System Parameters.<\/li>\n<li class=\"CopyofBulletedList\">If a store data file\u00a0is lost or becomes corrupted, you will need to restore a backup copy to resume processing.<\/li>\n<li class=\"CopyofBulletedList\">The program provides the ability to create backup copies of MS Access store data files from the\u00a0<strong><i>Quick Clicks&gt;Backup Data File<\/i>\u00a0or\u00a0<\/strong><i><strong>Main Menu&gt;Settings&gt;Data Functions&gt;Backup Data File<\/strong>.<\/i><\/li>\n<li class=\"CopyofBulletedList\">For information about backing up a SQL database click <a href=\"https:\/\/stoneedge.com\/kb\/articles\/backing-up-sql-database\/\">HERE<\/a>.<\/li>\n<li class=\"CopyofBulletedList\"><u><span style=\"font-size: small;\">SEOM<\/span>\u00a0does not provide an automated restore utility for MS Access or SQL databases<\/u>. You must manually restore and\/or rename the backup copy of an MS Access data file to the correct production file name.<\/li>\n<li class=\"CopyofBulletedList\">The <u>Email Templates<\/u>\u00a0folder and\u00a0<u>Custom Reports<\/u> database are separate from your store database and must be saved separately to create a backup.<\/li>\n<li class=\"CopyofBulletedList\"><span style=\"font-size: small;\"><i>Stone Edge Technologies Inc.<\/i><\/span>\u00a0<u>strongly<\/u> recommends that you make daily backups of your data file(s). We can replace your program file\u00a0(e.g. SEOrdMan.mdb), but we cannot replace your store data file(s)!<\/li>\n<li class=\"CopyofBulletedList\">Sending a copy of critical files off-site is also highly recommended, to provide the ability to recover from any physical disasters affecting your store or warehouse.<\/li>\n<\/ul>\n<h2>Description of the Backup MS Access Data File Function<\/h2>\n<h3>MS Access Data Files<\/h3>\n<ul>\n<li class=\"BulletedList\">The\u00a0Backup\u00a0Data File\u00a0function places a copy of the current store\u2019s data file in the archive directory specified by the system parameter\u00a0<strong>ArchiveLocation<\/strong>.<\/li>\n<li class=\"BulletedList\">The backup file is named\u00a0<strong>StoneEdgeDataBUyyyymmdd.mdb<\/strong>, where &#8220;yyyymmdd&#8221; is the date the backup was performed. If a file with that name already exists (if another backup was performed earlier in the same day), the program adds a hyphen and a number to the name, for example,\u00a0<strong>StoneEdgeDataBU20050214-1.mdb<\/strong>.<\/li>\n<li class=\"BulletedList\">The program does not delete old backup files automatically. Therefore, you may want to delete old backup copies from your archive directory every month or so to save disk space.<\/li>\n<\/ul>\n<h4 class=\"Heading4i\">Making a Back Up Copy of an Access Database<\/h4>\n<ol>\n<li class=\"Numberedlist\">Make sure all users have exited the program on all workstations. For example, if your store\u2019s data file is called MyOrders.mdb, rename it to MyOrdersBadData.mdb.<\/li>\n<li class=\"Numberedlist\">Go to the directory specified in the parameter <strong>ArchiveLocation\u00a0<\/strong>and copy the backup data file that you want to restore. (Right-click the file and select\u00a0<strong>Copy<\/strong>)<\/li>\n<li class=\"Numberedlist\">Paste the data file you just copied into the directory where the store\u2019s data file is located. (Right-click in the folder and select\u00a0<strong>Paste<\/strong>)<\/li>\n<\/ol>\n<p><strong>Note<\/strong>:\u00a0Do\u00a0<strong>NOT\u00a0<\/strong>delete the copy of the backup data file in the archive directory. You may need to restore from it in the future.<\/p>\n<ol start=\"4\">\n<li class=\"Numberedlist\">Rename the backup data file you pasted in step 3 to the original name of your store\u2019s data file, in this example, MyOrders.mdb. (Right-click the file and select\u00a0<strong>Rename<\/strong>.
