{"id":427,"date":"2019-04-11T16:43:50","date_gmt":"2019-04-11T16:43:50","guid":{"rendered":"https:\/\/stoneedge.com\/kb\/?post_type=ht_kb&#038;p=427"},"modified":"2020-01-10T17:05:07","modified_gmt":"2020-01-10T17:05:07","slug":"create-a-custom-report-from-a-stone-edge-standard-report-2","status":"publish","type":"ht_kb","link":"https:\/\/stoneedge.com\/kb\/articles\/create-a-custom-report-from-a-stone-edge-standard-report-2\/","title":{"rendered":"Create a Custom Report from a Stone Edge Standard Report"},"content":{"rendered":"<header class=\"hkb-article__header\">\n<h1 class=\"hkb-article__title\">Overview<\/h1>\n<\/header>\n<div class=\"hkb-article__content\">\n<ul>\n<li class=\"BulletedList\">This topic briefly discusses how to use a standard report as a template for creating a custom report.\u00a0SEOM\u00a0contains many system parameters that can be used to add a store logo or choose a different report template to control the contents and appearance of the standard reports which are supplied with the program, without the need to create a custom report.<\/li>\n<li class=\"BulletedList\">Refer to the\u00a0<strong>Reports\u00a0<\/strong>system parameter group page in the\u00a0<i>Knowledge Base<\/i>, or see the\u00a0<i>Reporting<\/i>\u00a0chapter of the\u00a0<i>User Guide<\/i>\u00a0for a list of those parameters.<\/li>\n<li class=\"BulletedList\">Reports reside in the\u00a0SEOM\u00a0program file on each workstation. Therefore, any standard reports that are modified by the user must be saved in the Custom Reports database or they will be lost when the program is re-installed on a given workstation. Custom reports that are saved in the Custom Reports database can be re-imported into a workstation\u2019s program file after the program has been upgraded or re-installed.<\/li>\n<li class=\"BulletedList\">If more extensive changes are desired, the standard\u00a0SEOM\u00a0reports can be modified using the built-in capabilities of Microsoft Access. Refer to Microsoft Access\u2019s help facility for more detailed information, or contact\u00a0<i>Stone Edge Technologies Inc.<\/i>\u00a0at (484) 927-4804 to get a quote.<\/li>\n<\/ul>\n<p><u><img decoding=\"async\" loading=\"lazy\" class=\"alignnone size-full wp-image-1047\" src=\"https:\/\/stoneedge.com\/kb\/wp-content\/uploads\/2019\/04\/ex_blue-5.jpg\" alt=\"\" width=\"32\" height=\"36\" \/>Disclaimer:<\/u>\u00a0Troubleshooting problems with user-modified custom reports is not covered by the\u00a0SEOM\u00a0Technical Support maintenance contract.<\/p>\n<h2 id=\"creating-a-custom-report-from-a-standard-report\">Creating a Custom Report from a Standard Report<\/h2>\n<h3 id=\"determine-which-report-to-modify\"><b>Determine Which Report to Modify<\/b><\/h3>\n<p>Most standard report objects in the\u00a0SEOM\u00a0program file are named exactly how you see them listed in the\u00a0<i>Report Menu<\/i>.\u00a0\u00a0A report such as the \u201cSales Summary\u201d is named \u201cSales Summary\u201d in the database (<strong>F11<\/strong>).<\/p>\n<p>However, reports such as invoices or packing slips are named dynamically because there are several formats of these reports from which the user can choose. If you are modifying a report such as an invoice or packing slip, follow these steps to determine which format is being used:<\/p>\n<ol>\n<li class=\"NumberedList\">Make sure the program is set to Show the Microsoft Access ribbon before beginning this process.\u00a0<i>\u00a0<strong>Main Menu&gt;Settings&gt;Hide or Show the Microsoft Access Ribbon<\/strong><\/i>.<\/li>\n<\/ol>\n<p class=\"Image\"><img decoding=\"async\" loading=\"lazy\" class=\"alignnone size-full wp-image-1048\" src=\"https:\/\/stoneedge.com\/kb\/wp-content\/uploads\/2019\/04\/settingsform-1.jpg\" alt=\"\" width=\"509\" height=\"381\" srcset=\"https:\/\/stoneedge.com\/kb\/wp-content\/uploads\/2019\/04\/settingsform-1.jpg 509w, https:\/\/stoneedge.com\/kb\/wp-content\/uploads\/2019\/04\/settingsform-1-300x225.jpg 300w, https:\/\/stoneedge.com\/kb\/wp-content\/uploads\/2019\/04\/settingsform-1-50x37.jpg 50w, https:\/\/stoneedge.com\/kb\/wp-content\/uploads\/2019\/04\/settingsform-1-60x45.jpg 60w, https:\/\/stoneedge.com\/kb\/wp-content\/uploads\/2019\/04\/settingsform-1-100x75.jpg 100w\" sizes=\"(max-width: 509px) 100vw, 509px\" \/><\/p>\n<ol start=\"2\">\n<li class=\"NumberedList\">Go to the\u00a0<i>Main Menu&gt;Settings&gt;System Functions&gt;<\/i><b>Set System Parameters<\/b>.<\/li>\n<li class=\"NumberedList\">Select the\u00a0<strong>Reports\u00a0<\/strong>parameter group.\n<ol>\n<li class=\"NumberedList\">For a packing slip, select the parameter\u00a0<strong>PackingSlipTemplate<\/strong>.<\/li>\n<li class=\"NumberedList\">For an invoice, select the parameter\u00a0<strong>InvoiceTemplate<\/strong>.<\/li>\n<\/ol>\n<\/li>\n<\/ol>\n<ol start=\"4\">\n<li class=\"NumberedList\">Take note of the parameter value, as this is the name of the report template currently being used.<\/li>\n<\/ol>\n<h3 id=\"locate-the-report-in-the-database-window\">Locate the Report in the Database Window<\/h3>\n<ol start=\"5\">\n<li class=\"NumberedList\">Open the database window (<strong>F11\u00a0<\/strong>at\u00a0<i>Main Menu<\/i>). This feature may be restricted by\u00a0SEOM\u2018s security system, if it is enabled.<\/li>\n<li class=\"NumberedList\">Select\u00a0<strong>Reports\u00a0<\/strong>on the left-hand side of the window, under the\u00a0<strong>Objects\u00a0<\/strong>heading.<\/li>\n<li class=\"NumberedList\">All of the reports that are included in the program will be listed alphabetically in the main database window.\u00a0Find the report that is to be modified.<\/li>\n<\/ol>\n<h3 id=\"make-a-copy-of-the-report\">Make a Copy of the Report<\/h3>\n<ol start=\"8\">\n<li class=\"NumberedList\">Right-click on the report\u2019s name and choose \u201c<strong>Save As<\/strong>\u201d\u00a0and enter a new name for the copy of the report.<br \/>\n<img decoding=\"async\" loading=\"lazy\" class=\"alignnone size-full wp-image-1050\" src=\"https:\/\/stoneedge.com\/kb\/wp-content\/uploads\/2019\/04\/ex_blue_sm-1.jpg\" alt=\"\" width=\"15\" height=\"17\" \/>\u00a0Do not modify the original report.<\/li>\n<li class=\"NumberedList\">You are prompted to name the report.\u00a0We recommend using a naming convention which includes your company name or initials, such as \u201cWidget Company Invoice\u201d or \u201cInvoice \u2013 Widget Company\u201d, to easily distinguish it as a custom report. Depending on which naming convention you use, either all custom reports will be listed near each other or they will remain by their standard report counterparts.<\/li>\n<li class=\"NumberedList\">\u00a0Click\u00a0<strong>[<\/strong><b>OK]<\/b>.\u00a0\u00a0The Database window refreshes.<\/li>\n<\/ol>\n<h3 id=\"edit-the-report\">Edit the Report<\/h3>\n<ol start=\"11\">\n<li class=\"NumberedList\">Right-click on the new report and choose\u00a0<b>Design View<\/b>.<\/li>\n<li class=\"NumberedList\">Modify the copy of the report as needed, using Access\u2019s built in report editor. Refer to Microsoft Access\u2019s help for specific instructions about editing a report.<\/li>\n<li class=\"NumberedList\">Save the changes and close the new report.<\/li>\n<\/ol>\n<h3 id=\"store-the-custom-report-in-the-custom-reports-database\">Store the Custom Report in the Custom Reports Database<\/h3>\n<ol start=\"14\">\n<li class=\"NumberedList\">Minimize the Database window. Access the\u00a0<i>Custom Report Maintenance<\/i>\u00a0feature and export the new custom report to the Custom Reports.mdb file for safe-keeping. Refer to\u00a0<i>Knowledge Base<\/i>\u00a0article,\u00a0<i>Custom Report Maintenance<\/i>, for detailed instructions.<\/li>\n<\/ol>\n<h3 id=\"tell-the-program-to-use-the-new-report\">Tell the Program to Use the New Report<\/h3>\n<ol start=\"15\">\n<li class=\"NumberedList\">Go to the\u00a0<i>Set System Parameters<\/i>\u00a0screen and enter the name of the modified report in the appropriate report template parameter.<\/li>\n<li class=\"NumberedList\">Select\u00a0<strong>Save\u00a0<\/strong>and\u00a0<strong>OK<\/strong>.<\/li>\n<\/ol>\n<h2 id=\"examples-of-creating-simple-custom-reports\"><b>Examples of Creating Simple Custom Reports<\/b><\/h2>\n<h3 id=\"changing-fonts-on-a-report\"><b>Changing Fonts on a Report<\/b><\/h3>\n<ol start=\"1\">\n<li class=\"NumberedList\">Open the database window, choose the report and open it in\u00a0<strong>Design View<\/strong>.<\/li>\n<li class=\"NumberedList\">Once in design view of the report, you will see several square or rectangular boxes called \u201cLabels\u201d or \u201cText Boxes\u201d.<\/li>\n<li class=\"NumberedList\">Clicking inside one of these will select that object, and place \u201cHandle Bars\u201d (little black boxes on the corners and sides) around it.<\/li>\n<\/ol>\n<p class=\"Image\"><img decoding=\"async\" loading=\"lazy\" class=\"alignnone size-full wp-image-1051\" src=\"https:\/\/stoneedge.com\/kb\/wp-content\/uploads\/2019\/04\/msaccessreportindesignview-1.gif\" alt=\"\" width=\"452\" height=\"165\" \/><\/p>\n<ol start=\"4\">\n<li class=\"NumberedList\">With the appropriate field selected, change the font just as you would in Microsoft Word:\n<ol>\n<li class=\"NumberedList\">on the tool bar, you should see a drop down box displaying the font for that particular box<\/li>\n<\/ol>\n<ol start=\"2\">\n<li class=\"NumberedList\">change it to the desired font<\/li>\n<\/ol>\n<\/li>\n<li class=\"NumberedList\">Repeat this for each field that should have a different font.<\/li>\n<li class=\"NumberedList\">Save the custom report.<\/li>\n<li class=\"NumberedList\">Export the custom report to the Custom Reports database.<\/li>\n<li class=\"NumberedList\">Import a new copy of the custom report on to each workstation in the complex.<\/li>\n<\/ol>\n<h3 id=\"adding-a-graphic-logo-to-a-report\"><b>Adding a Graphic Logo to a Report<\/b><\/h3>\n<p>The preferable way to add a company logo to a\u00a0SEOM\u00a0report is to use the system parameter,\u00a0<strong>ReportLogoLocation<\/strong>, which identifies the location of the image to include on a standard\u00a0SEOM\u00a0report.<\/p>\n<p>The image should be appropriately sized (1 inch X 1 inch) before setting the parameter.\u00a0<strong>ReportLogoLocation\u00a0<\/strong>is available as a Special (Cart-Based) parameter, so if there is more than one shopping cart defined within a single store data file, the paperwork for each cart can be branded with their own distinct logos.<\/p>\n<p>For the adventurous types that like to do things the hard way, this example describes how to add a logo to a report\u00a0<i>instead<\/i>\u00a0of using the\u00a0ReportLogoLocation\u00a0parameter.<\/p>\n<ol>\n<li class=\"NumberedList\">\u00a0From the design view of the report, select\u00a0<b>Insert<\/b>\u00a0then\u00a0<b>Picture<\/b>\u00a0from the Microsoft Access\u00a0<i>Menu<\/i>\u00a0bar.<\/li>\n<li class=\"NumberedList\">\u00a0Browse to the desired image, select it and click\u00a0OK.<\/li>\n<li class=\"NumberedList\">The image now appears on the report.\u00a0<b>Note:<\/b>\u00a0\u00a0Images\u00a0<i>must<\/i>\u00a0be sized properly before importing them.\u00a0\u00a0You cannot re-size an image once it is imported.<\/li>\n<li class=\"NumberedList\">Click on and drag the image to the desired location.\u00a0If necessary, move or re-size other fields so that they do not overlap the image.\n<ol>\n<li class=\"NumberedList\">To re-size a text box, such as the address info, select the field, click the appropriate \u201cHandle Bar\u201d and drag the box to the proper size and position.<\/li>\n<li class=\"NumberedList\">Do not delete fields on an existing report, hide them instead.<\/li>\n<\/ol>\n<\/li>\n<\/ol>\n<h3 id=\"hiding-a-field-in-the-report\"><u>Hiding a Field in the Report<\/u><\/h3>\n<p>If you do not want to display a particular field, such as company name, it should be hidden rather than deleted from the report.<\/p>\n<ol>\n<li class=\"NumberedList\">Locate the report and open it in\u00a0<strong>Design View<\/strong>.<\/li>\n<li class=\"NumberedList\">Right-click on the desired field and click\u00a0<b>Properties<\/b>.<\/li>\n<li class=\"NumberedList\">\u00a0In the\u00a0<i>Properties<\/i>\u00a0window, select the\u00a0<b>ALL<\/b>\u00a0tab, as seen in the image below.<\/li>\n<li class=\"NumberedList\">\u00a0Scroll down the list to the\u00a0<span class=\"GramE\"><b>Visible<\/b><\/span>\u00a0field.<\/li>\n<li class=\"NumberedList\">\u00a0Enter or select\u00a0<b>NO\u00a0<\/b>from the drop-down list.<\/li>\n<li class=\"NumberedList\">Close the\u00a0<i>Properties<\/i>\u00a0window.<\/li>\n<li class=\"NumberedList\">Save the report and export it to the Custom Reports database.<\/li>\n<\/ol>\n<p class=\"Image\"><img decoding=\"async\" loading=\"lazy\" class=\"alignnone size-full wp-image-1052\"
