Fulfillment Centers

 

The Order Manager fulfillment system is a file-based system that exports information as orders are approved in the Order Manager. The information includes everything required to pick, pack, print, and ship your orders. It does not include any financial information, credit card numbers, or any other sensitive information. The system supports multiple fulfillment centers, as one order may result in data being sent to multiple fulfillment centers.

 

The fulfillment system exports data to text files on your local computer or Local Area Network (LAN). You must then manually send those text files to your fulfillment center(s). If the text file already exists, the new info will be appended to the file. Otherwise, the file will be created. Remember to delete or rename the files after they have been sent to your vendors to avoid duplicating orders.

 

After the items are shipped, your fulfillment center sends shipping and tracking data back to you via text files that can be imported into the Order Manager using the Import .csv Tracking #’s button on the Shipping & Fulfillment tab of the Maintenance Menu.

 

Products can be assigned to fulfillment centers individually, by category, or by system default. Product settings override category and system-wide settings.

Enter Fulfillment Centers
  1. Go to the Main Menu> Maintenance Menu> Shipping & Fulfillment tab> Fulfillment Centers button.

  2. The Fulfillment Centers dialog box opens:

 

 

Note: Notice that there are no Edit, Cancel or Save buttons. Each record is saved upon exiting the row. If you try to exit a row without entering a code and/or a name, the program will prompt you to complete the field(s) before it will allow you to move to the next record or close the dialog box.

  1. Enter a unique code (up to 20 alpha-numeric characters long) for the fulfillment center in the Code field.

  2. Enter a unique name for the fulfillment center in the Name field.

  3. Indicate which method you will use to export order information to the fulfillment center:

    1. Export to Text File

      1. If you will send orders to the fulfillment center via a text file, click the Export to Text File check box.

      2. Enter the full path and filename of the text file in the Export File field. Click the Browse button in the upper right-hand corner of the dialog box to locate the file.

      3. Click in the Export Template field and select the template the program should use to export the order information to the text file. To look at existing template or create a new template, click the View Export Templates button in the upper right-hand corner of the dialog box.

    2. Export via Email

      1. If you will send orders to the fulfillment center via email, click the Send Email check box.

      2. Click in the Email Template field and select the email template you wish to use to send order information to the fulfillment center. To look at existing templates or create a new template, click the View Export Templates button in the upper-right hand corner of the dialog box.

      3. Enter the fulfillment center's email address in the Email Address field.

    3. Export via Web - this functionality does not currently exist and it is not included in our future development plans at this time.

  1. Repeat the steps above until all fulfillment centers have been entered.

  2. Click Close to exit the Fulfillment Centers dialog box.

 

Assign Products to Fulfillment Centers Individually
  1. Go to the Main Menu>Maintenance Menu>Inventory & Suppliers tab> Inventory button or Quick Clicks>Inventory.

  2. The View Inventory dialog box opens.

  3. Navigate to the appropriate product record.

  4. Click Edit.

  5. Click the Don't do fulfillment checkbox if you use or plan to use a system-wide default fulfillment center and you do NOT want orders for the current product sent to ANY fulfillment centers including the default.

  6. To send orders for the current product to a fulfillment center, click on the Fulfillment Center drop down list in the bottom-left corner of the screen and make your selection.

  7. Click Save.

  8. Click Close to exit the View Inventory dialog box.

 

Assign Products to Fulfillment Centers by Inventory Category
  1. Go to the Main Menu>Maintenance Menu>Maintenance tab>List Maintenance button.

  2. The List Maintenance dialog box opens.

  3. In the Select List list box, click on Inventory Categories.

  4. Click on a Category in the List Entries list box.

  5. Click on the Fulfillment Center drop down list and click on the name of a fulfillment center. Note: To delete a fulfillment center from a category, click on the Category in the List Entries list box. Clear the fulfillment center name from the text field above the Fulfillment Center drop down list.

  6. Click Save.

  7. Click Close to exit the List Maintenance dialog box.

 
Set a System-wide Default Fulfillment Center

If you select a default fulfillment center, the program assigns any product that is not assigned to a fulfillment center individually or by inventory category to the default fulfillment center as long as the Don't do fulfillment checkbox is not checked.

  1. Go to the Main Menu>Maintenance Menu>Maintenance tab>Set System Parameters button or Quick Clicks>System Parameters.

  2. Click on the Shipping group.

  3. Select the DefaultFulfillmentCenter system parameter.

  4. Select a fulfillment center from the drop down list. Note: To delete the default fulfillment center, clear the name from the text field above the drop down list.

  5. Click Save.

  6. Click Close to exit the Set System Parameters dialog box.
