Export Inventory

You can export product data to a text file for use with other applications, including your shopping cart. Define the set of data to export and choose either a comma-delimited (.csv) or tab-delimited (.txt) type of text file.

  1. Go to the Main Menu>Maintenance Menu>Import/Export tab>Export Inventory. The Export Inventory screen opens.

  2. If you frequently export data to text files for use with other programs, you can set up an export template, which you would select from the Load Export Template drop down list. (See Step 7 to learn how to create an Export Template.)

  3. Select the type of text file you wish to create. Note: This decision depends on the application with which you will use the data. If you are unsure of the file types the application accepts, consult its documentation. If the application accepts both types, follow this general guideline: If your data contains commas, apostrophes, quotes and/or carriage returns, use the tab-delimited format. If your data does not contain special characters, use the comma-delimited format.

  4. If you want the first row of the data file export to contain field names, click the Include Field Names check box.

  5. If you want to export discontinued items, click the Include Discontinued Items check box.

  6. If you want to export out-of-stock items, click the Include Out-of-Stock Items check box.

  7. Map the fields you want to export in the Field to Export. In the Sample Data box, note that the first column is already populated with sample SKU data from your inventory. To map your inventory SKU data to Field 1, click the drop-down menu and select SKU. (You can map your SKU and other inventory data to any of the field numbers provided). In Field 2, click the drop-down menu and select the field name you wish to map to that location. Your inventory data with that field name will appear in the second column of the Sample Data box. Continue assigning field names to as many field numbers as you wish. If you use any custom field names to hold inventory data, select the desired field number and click Add Custom Column from the drop-down list. Type the field name in the box. You can export standard or custom fields. To clear all fields at once, click Clear All Fields. Note: To save these field selections as an Export Template, click Save Template. Enter a name for the new Export Template and click OK.

  8. Click Begin Export. You are prompted for a file name and location to store the text file.

  9. If you wish to export only a subset of your inventory, click Filter to open the Select Items form. After you build a list of items, click Export Selected Items.
